Booking Factory offers multiple reports, they all get their data in different ways so sometimes you will wonder why the figures of one report don't match another. This is usually because some reports are taking data from the bookings and some from daily figures. All of our reports can be exported into an excel sheet.

* We do recommend for you to open the reports and go trough them (play around with the filters) to see for yourself what information each one gives.

Payment Report

Description: This report shows all payment transactions over a period of time.

Data: Based on payment transactions which can be found in the payment tab in the bookings.

Filters:

Daily Checkout Report

Description: This report shows all reservations that are checked out on the selected date.

Data: Based on all reservation that have a check out on a chosen date.

Filters:

• Date: you can view the report for different dates

Booking Report

Description: This report shows all bookings depending on the search criteria. It also contains a summary section at the top to give you some insights.

Data: Based on booking details

Filters:

• Arrival: display bookings matching arrival dates
• Departure: display bookings matching departure dates
• Booking Date: display bookings matching the booking creation date
• Staying: match bookings to any day in the booking
• Booking Source: filtering by booking source
• Show Cancelled: by default cancelled is hidden so you can select to show
• Due Greater Than 0: filter to show bookings who have payments due

Cancellation Report

Description: This report shows all of the reservations that have been cancelled on a specific date or at a specific period.

Data: It is based on cancelled reservations.

Filters:

• Date: you can view the report for different dates

Housekeeping Report

Description: This is a simple report to print for the housekeeper for a single day, It will show what rooms are departing, arriving and staying.

Data: Based on booking data.

Description: This report will find all the bookings in the requested date range and summaries them in order of sales channel. You can click on each channel to see the bookings associated with the data.

Data: Based on booking data. 

Filters:

• Arrival: display bookings matching arrival dates
• Departure: display bookings matching departure dates
• Booking Date: display bookings matching the booking creation date 

Extra Report

Description: This report shows all extras matching the search criteria and display them in a summarized way.

Data: This report is based on extras which is found in each booking in extras tab.

Note: Extras may apply outside the room stay dates. We advise you to be careful when using dates for extras so it will make more sense.

Filters:

• Type of extra: search from the list of available extras
• Date: you can view the report for different dates

Meal Report

Description: This is a Extra Report customized only to show Meals. On each extra there is a checkbox to say if the extra is a meal or not. The one that have meals ticked will appear on this report. This report is useful to have breakfast list or see all meals on a selected day.

Occupancy Report

Description: This report is designed to give you insights for your property in terms of key statistics such as Average Revenue, Occupancy etc.

Data: This report is based on daily figures on individual dates, no the entire booking.

*Note: You can exclude blocked nights from available nights count.

Example: You have 10 night booking for Dec 1st for $100 per night. Booking Report with arrival filter for Dec 1st to Dec 1st will show the booking data and Revenue of $1000. Occupancy Report with date of 1st Dec to 1st Dec will show data on one night only so $100.

Financial Report

Description: Similar to occupancy report in some ways but provides more details on financial data on a daily basis.

Data: This report is based on daily figures on individual dates, no the entire booking.

*Note: You can exclude blocked nights from available nights count.

Example: You have 10 night booking for Dec 1st for $100 per night. Booking Report with arrival filter for Dec 1st to Dec 1st will show the booking data and Revenue of $1000. Financial Report with date of 1st Dec to 1st Dec will show data on one night only so $100.

Debtor Report

Description: This report will search all historical bookings and show you a list of all bookings that have an outstanding due. It displays the debts for under 30, 60, 90, 120 and 150 days. 

Data: Based on booking data. You can view the data per booking or per customer.

In House Report

Description: This report shows all checked-in bookings for a specific date and some key statistics. This is useful to see who is in-house currently (when selecting the current date).

Data: Based on checked-in bookings.

Filters:

• Date: you can view the report for a specific date (the default one is the current date)

Reservation Report

Description: This report summarizes key data for a period of time such as how many arrivals, departures or people are in-house. This is useful information for housekeeping or F&B departments. 

Data: Based on booking data (check-in and check-out). You view the data per room or per guest.

Filters:

• Date: you can view the report for different dates

Manager Report:

Description: A daily snapshot of property performance. You can see your performance compared to the the same day/ month last year, or compared to the previous year.

Data: This report is based on daily figures on individual dates, no the entire booking.

Example: You have 10 night booking for Dec 1st for $100 per night. Booking Report with arrival filter for Dec 1st to Dec 1st will show the booking data and Revenue of $1000. Manager Report with date of 1st Dec will show data on one night only so $100.

Filters:

• Date: You can view the report for a specific date

Folio Report

Description: This report will get you all folios, invoices or receipts for a given date range. If you have an accounting system connected to The Booking Factory you will also see what receipt have been successfully sent to the accounting system and which haven't along with the error code.

Data: Based on Folio dates. (Found in the folio tab for each individual booking)

Filters:

• Type: display the data for Folios, Invoices, Receipts, Missing Receipts from Past Bookings, Missing Receipts from All Bookings and Voided
• Arrival: display bookings matching arrival date
• Departure: display bookings matching departure dates
• Booking Date: display bookings matching the booking creation date
• Date: you can view the report for different dates

Immigration Report

Description: A report displaying key data of all guests staying on a selected date. This can be useful in the case where local law enforcement requests a report or information about the guests.

Data: It is based on guest data of each booking. Guest details are found in guest tab of each booking.

Country Report

Description: This report gives insight about where the guests are coming from. The information is sorted by country (if known).

Data: Booking data is used for this report.

Statistical Report

Description: This report is designed for the Icelandic market. When correctly set up and nationalities applied to all guests in the previous month, you can hand this report in directly via Booking Factory and update whenever you update previous data.

Data: Booking data is used for this report.

Filters:

• Date: you can view the report for different months

Deposit Report

Description: This reports shows all future bookings that have payments, this is to help easily see how how much you have collected but yet to provide the service.

Data: Based on payment data and future bookings 

Description: This report gives you details of what rate plans have been popular and their statistics, it is similar to the channel report but sorted around rate plans.

Data: Booking data is used for this report. 

Filters:

• Arrival: display bookings matching arrival date
• Departure: display bookings matching departure dates
• Booking Date: display bookings matching the booking creation date
• Date: you can view the report for different dates

Accounting Report

Description: This report gives you details on a day level of all income, payment, taxes and extras that have been sold, paid or unpaid. It splits each item down to accounting categories.

Data: Booking and payment data. This report only displays the information from the products and payments that are assigned to the corresponding accounting categories.

Accounting categories have the following columns:

• Unpaid: All items that was added inside folio/invoices for day
  
• Paid: All items that was moved into receipts (i.e. covered with payment)
  
• Total unpaid: Cumulative total for unpaid column including current one
  
• Total paid: Cumulative total for paid column including current one

Filters:

• Date: you can view the report for different dates

*Note: This report will need to be enabled in Hotel Features.

End Of Day Report

Description: This report shows the details on products, net rate, taxes and total for each product. The reports also show payment types of the selected period  and gives the detail list of the reservations.

Data: Booking and payment data. This report displays the information only from the Receipts (closed folios).
