Specifics for other channels

For Vertical Booking users. Mapping to specific sales channels.

You often have channels with contracted rates, allotments or some other specifics that need to be synced with the channel manager, in order to receive the reservations correctly into the PMS. Many channels require a very specific mapping process.

Here are some points how to start so we can take over.

  • Before we start connecting any new channels/ OTAs, please inform your contact (or log into the channel´s extranet and send message) about your new connection with Vertical Booking. The channel will need to make changes on their end and confirm to you once it is done. Check with us if any other channel manager might be a better fit for a specific channel.

  • Get all the names and codes (for rooms and rates) from the channels that we will need to make the mapping correct (see examples in images below). Send that along with your username, ID and XML details to us, after the channel confirmed activating our channel manager.

  • If there are major differences in names of room types or rate plans, please send us a list of how the mapping should be done (examples below in images). Make sure we have the complete information about corresponding rates as well as room occupancy.

  • Do you have any FIT contracts, allotments, derived rates etc? Let us know before we start mapping, and create missing rates in the PMS. We will need to know which rates in PMS correspond the rates in the channel. All rate plans created in the channel must be created in Booking Factory too. Check with the channel if contract rates are loaded on their end and they only need inventory.

  • Is there a different currency that needs to be mapped on some channels? Let us know beforehand.

  • Any specifics regarding sending only availability and avoiding rate updates?

Here is an example of what we need to know in order to correctly map major OTAs (in most cases these rates are more or less the same on Booking.com and Expedia).

Make a list of rates that you have in the channel, and their codes (if available). Then add the name of the corresponding rate in Booking Factory.
If any rates are missing, such as contract rates, please create them. If there are any specifics regarding the rate, such as allotment, or the option from channel´s end to load the rates, and they only need inventory, please make a note for us.

It is best to gather all the information about the setup from the channel, add your comments and let us know about it. We can also advise which channel manager connection would best fit your selection of channels.

The standard setup would be that there are no derivations or applied discounts on the channel´s end between rooms or rates, but only the created rate for each rate in the PMS. This also gives you accurate reporting per rate plan, and more insight into each of your channel´s sales. It also makes the connection more secure and accurate.

Important to mention

  • What are the contract rates, if any? You will need to create the same rate in the PMS

  • Is the channel contracted with allotment rooms?

  • What currency is set in that channel?
