Room Types

Navigate to Inventory - Room Types


This is a fundamental and important part of your setup, please make sure you enter all room types & make sure you provide text and photos as this will be used on your booking engine and rate plans will only be created for room types that have been created.

It is also important that you have the newly created room types match the setup you are already using on OTAs such as Booking.com, Expedia etc. so we mapping is more efficient.

 

To get started please edit the existing room type by clicking on the pencil icon on the right hand side.
To create a new room type select “Add Room Type” 


1. Name your room type, this is what your room type is called in your Booking Factory account. 
2. Short name is what will appear in the calendar so pick abbreviation that you use.

3. Display name is the name of the room that will be displayed on your booking engine.

4. Input the occupancy for this room type. 
    Unless you have special rates for children we recommend inputting 0 in to max children as this is only             important when it comes to rate plans for your booking engine as child rates cannot be mapped to OTA´s.
5. Select what kind of accommodation this room type is from the drop down list.
6. Write a description of the room - the display text is only for show so please erase it and type in something     that describes your room.

7. Available facilities is the list that you set up earlier, it is your facility warehouse and you click on the item that     applies to your room type to add it.

8. Add in your bed configuration. It is possible to have more than one configuration but that option will only be     available on your booking engine and it will be displayed as a text in housekeeping note. For example if you     have twin room that can be sold as a king room you would add both configurations.

9. Upload your images in high resolution as they will look better on your booking engine. We recommend             adding at least 3-5 photos of each room type.

10. Save the changes.

To create a new room type select “Add Room Type” and follow the same steps as you did before.


 

 

What does it all mean?

  1. Room Type (admin only) - This is the type of room. Example: Single, Double, Twin

  2. Short Name (Admin & Invoice) - This will show on your calendar and your invoices so please keep it short and sweet.

  3. Display Name (Booking Engine) - This is what your guest will book on your booking engine Example: Double En-Suite with Kitchen Facilities

  4. Max Adults - How many adults can this room accommodate

  5. Max Children - How many children can this room accommodate

  6. Max Occupancy -  In an example, if your Double Room can accommodate up to a maximum of 2 adults, and 2 children, and a max occupancy of 2 guests. This means that this room allows either 2 adults, or 1 adult and 1 child, but not 2 adults and 2 children. It is also used for calculated room rate generation.

  7. Default min stay - If this specific room has a min. stay, this is where you can add that. Note that this restriction is not necessarily pulled from the PMS into OTAs so you might prefer using the Rate setup for setting restrictions that should be valid for this room on all channels. 

  8. Default price per night - You must enter a value here to save - this will be the base rate that connects Room Type and Base Rate Category. This value is used for daily rates for that initial Room Rate. You will be changing this rate as needed in the next steps. 

  9. Description - The text here will be used on your booking engine to describe the room

  10. Facilities Section - Please click on facilities to add to you room type, if you need any custom facilities please create in the facilities settings in the settings menu names "Room Type Facilities"


Ical Link
We provide your ical link here if you wish to share the availability of the room type with websites such as Homeaway and Airbnb. That room type needs to be mapped with the corresponding room in order to be connected. 

 


Virtual Rooms

Virtual room type is created for hotels that want to sell the same room type as different Names or Occupancy. For example, in case my Suite was actually the same room unit as the Family room – just sometimes sold to 2 adults and sometimes to 2 adults and 2 children, I could map for it different rates / rules etc. Please note that this option can possibly cause overbookings and we recommend using it only for certain types and sizes of properties. Please chat with us before using this option! This option will be discontinued so please do not use it.
