Booking Engine Settings

The Booking Engine is included with Booking Factory.

This feature provides numerous options. If you have your own website, you can easily copy the URL for the booking engine and link them to the book now buttons on your website. Clicking the link will open a new tab displaying all room types you offer.

An automatic booking engine is generated for each room type you set up in the system. This makes it easy to add a separate link for each room type you offer on your website.

Default Booking Engine

The Default Booking Engine is automatically created and it will include all of the room types that the property has. To open the URL of the default booking engine navigate to your user name and select "Guest Booking Page" or click Open next to the booking engine and copy the URL.

When a new room type is created the system automatically adds that room type to the default booking engine and creates a separate booking engine for that specific room type.

You can edit the default booking engine by selecting the pencil icon.

Multiple Booking Engines

You can generate a booking engine for every company or wedding party requiring specific prices, room types, or available booking dates by creating new booking engine profiles and sending out the booking links directly to that customer.

You can choose the rates and rooms they have access to and you have some other settings to control like if they need to have a credit card or not.

Creating a Booking Engine Profile

Click on the "Add New Profile"

Start by creating a title for this booking engine, the slug(URL) will show the name of the booking engine profile.
Select your property
Select what room types should be available
Select all rate plans that should be available
If the default language or currency should be in a another language then you can select different options
Tick the boxes that should apply for this booking engine profile
If the booking engine profile is only open for a specific time then you will need to tick the box "set available dates" and then select the dates.
Predefined Promocode: this is only if one of your rate plans(offers) has a promocode attached to it, you will need to add that promocode on the booking engine profile in order to unlock that rate plan(offer).
Booking Questions can be added on for additional information form your guests.
You can add additional confirmation emails
You can customize the colors of your booking engine profile to fit your theme.
Remember to save.
Click on the link "Open" and copy the URL and send you your customer.

Title: This is for your own reference e.g. "Wedding Party for Mr&MRs Smith"
Slug: This is what shows in the URL link for the IBE
Default Language: You can leave empty or select
Default Currency: This will pre-select a currency for the booker

Address is Required: You can require the address or hide it from view
Phone Required: You can require this or hide it from view
Guest Name Per Room Booked: You can require them to State a name per room they have booked
Nationality: You can require the booker to fill this information
Allow Zero Price: This is an option you want to use if you are planning on giving free rooms
Order by room Type Priority: We arrange room types by price but if you wish your own order please check this and set the order in the room type setting area

Promocode: If you have an offer with a promocode you can enter the promocode here so they get it automatically
Reference: Here you can define the booking channel reference e.g. "IBM Booking" if empty we will call it website booking

Password: You can choose to protect the booking engine with a password

Booking Questions: You can create some custom questions to ask on the IBE

AdWords Tracking Code: Enter the AdWords code script here
Google Analytics Code: Enter the code script here

Adding/Changing Photos of Room Types

This is done when setting up your room types.

Navigate to Settings - Inventory - Room Type

Select the room type that you want to add photos to and click on the pencil icon.

Scroll down and select "upload image"

To select your primary image click on the star icon (when it is filled in, the picture is the primary one)

To delete a picture, click on "x" on the image and remember to save.

Privacy Policy

Make sure to modify your privacy policy, as the one you currently have is a default text provided by Booking Factory. You can also add your Terms & Condition on this page.

Simply click on the text box and start writing.

How Will the Booking Engine Look Like

You can always see what your default booking engine looks like by clicking on your user name in the top right corner and selecting "Guest Booking Page"
